Use your issued credentials. Need access? Request onboarding and we will provision your client folders.

What happens after you upload files
Once your files pass preflight, you receive: (1) a receipt / job summary and (2) a personal link to review details and place the order. If anything is missing, we reply with a correction list before production is released.
Fast Start — 4 Steps
  • 1 Upload Drop files into your client Dropbox handoff folder (repeat or variable). Do not email production files unless we ask.
  • 2 Preflight We verify size, bleed, safe area, fonts, images, and naming. Issues get flagged early — before they become reprint cost.
  • 3 Receipt + Link Delivered when ready. You confirm quantity, ship-to, and options via your personal ordering link.
  • 4 Release After approval and payment terms (card or invoicing). We only manufacture against an approved job record.
Urgent changes
Include the job ID in the subject line once you receive your receipt. If you don’t have a job ID yet, reference the Dropbox folder name.

File Handoff System

Dropbox Folder Structure

You will receive a private Dropbox share. Use the structure below so repeat orders are fast and auditable. One parent folder per brand or program. Keep repeat and variable separate.

Recommended folder layout
  • A 01_REPEAT_ORDERS Same artwork each time. Only quantity and ship-to changes between runs.
  • B 02_VARIABLE_DATA Mail merges, unique names, numbering, barcodes, multiple versions.
  • C 03_PROOFS_AND_RECEIPTS We return proofs, receipts, and your ordering links here and by email.
Folder naming — best practice
  • Repeat: YYYY-MM Project — Item — Size — Stock
  • Variable: YYYY-MM Campaign — Item — VersionSet
  • Always include finished size, stock/material, and any finishing
  • Avoid “final_final_v7”, “newest”, “use this one”

Repeat Orders

Repeat Orders: File Guidelines

“Repeat order” means the artwork does not change — only quantity, ship-to, and schedule. Follow these guidelines to keep repeat orders same-day ready once the master is locked.

Best files for repeat orders
  • Print-ready PDF/X (preferred) — embedded fonts, outlined critical type
  • Packaged source (optional) — INDD/AI + links + fonts when future edits are likely
  • Vector logos — AI/SVG/EPS with spot colors named consistently
  • Images — 300 DPI at final size, TIFF/PSD/high-quality JPG
Repeat-order checklist
  • Final size + bleed included (standard: 0.125” unless specified)
  • Safe area respected for trim and folds
  • Colors: CMYK or named Pantone spot colors
  • No missing fonts, no RGB logos, no low-res images
How we confirm repeat readiness

We lock an internal “repeat master” once approved. After that, repeat orders only need quantity, ship-to, and finishing selections.

  • 1 Upload Print-ready master into 01_REPEAT_ORDERS. One folder per product/format.
  • 2 We Preflight Confirm all specs. If anything is off, you get a correction list before we proceed.
  • 3 Receipt + Link Your personal ordering link always points to the correct repeat master going forward.

Variable Data & Mail Merge

Variable Data: File & Format

Variable work includes names, addresses, barcodes, unique IDs, numbering, segmented versions, or multiple artwork variants. Keep your data and templates separated so we can validate and produce without errors.

What to upload
  • Template artwork — print-ready PDF of the base design (or packaged INDD/AI if required)
  • Data file — CSV (preferred), XLSX, or TXT with clear column headers
  • Barcode rules — specify type (QR, Code128, PDF417, IMb), size, quiet zone requirements
  • Numbering — starting number, increment rules, prefixes/suffixes
Data hygiene — best practice
  • One header row only — no merged cells
  • UTF-8 CSV if possible
  • Separate columns: Address1 / Address2 / City / State / Zip
  • Do not embed notes in cells — use a separate README
Variable workflow
  • 1 Upload Template + Data Into 02_VARIABLE_DATA. Include a README with any special rules.
  • 2 We Validate Data format, field lengths, barcode feasibility. We confirm column mapping before building.
  • 3 Proof Set Samples + edge cases produced for your approval before the full run.
  • 4 Receipt + Link Issued for order placement. Includes versioning and quantities.
Common mistakes to avoid
  • Different column names between file versions
  • Excel auto-formatting IDs — drops leading zeros
  • Low-res barcode images pasted into the template
  • Mixing campaigns in one file without a “Segment” column

These practices minimize rework and keep production moving cleanly — especially for repeat orders and regulated workflows.

  • One job = one folder with consistent naming
  • PDF/X masters for repeat work; packaged source only when needed
  • 300 DPI images at final size; vectors for all logos
  • Explicit specs — size, stock, finish, quantity, ship-to
  • One approver per job for clean release control
  • Reference the job ID in all follow-up emails
Avoid these
  • Multiple “final” versions in the same folder
  • RGB-only assets or screenshots used as artwork
  • Embedded barcodes as images without barcode specs
  • Unlabeled dielines or fold marks
  • Last-minute changes without referencing the job ID
  • Emailing production files when Dropbox is set up
Receipt + personal ordering link
When files are ready, you receive a receipt and a personal link to confirm quantity, ship-to, schedule, and finishing selections. This link becomes the permanent reference for that job record. For urgent changes, always include the job ID in your subject line.
